Over the last few weeks quite a few people have been in touch asking which apps we use for instagram - stories and posts. It’s great that you notice we are taking time over this and we are still learning (there are sooooo many to choose from!) but here are the top 5 apps that we use to design and plan our Insta feed…
Canva - cost $12.95 per month
This really is one app that we could not do without! Canva is a go-to design app, they offer so much for a flat rate of $12.95 per month - templates for design requirement you could possibly have - whether it is a straightforward insta post or story, instagram highlights cover, a facebook cover, a logo, A4 flyers, presentation designs and so much more. You can use the fonts that they provide or easily import fonts that you bought separately, as we did with our ‘HELLO BEAUTIFUL’ brand font and ‘LEMON MILK’ logo font.
They also provide an extensive catalogue of photography, a huge amount of which is free or you can pay $1 for something a little more unique. We really don’t know where we would be without Canva - it’s the bomb!
Plann - cost $19 per month
Plann is a tool that we use to set up our instagram posts (which we generally do 10 days in advance as it just gives us one less thing to think about on a daily basis!). It offers so much more than what we actually use, but we use the scheduling tool (which pops up on your phone with a reminder that it is time to post and you simply copy and paste into instagram). The scheduling tool also enables you to see what your grid is going to look like. There are great colour options available to help you plan your strategy and it provides you with an easy way to set up your hashtag categories and tracks your best performing posts in terms of likes and engagement levels. Another great feature is the insight into when your followers are online and the best time to post - priceless!
Hypetype - cost $4.99 per month
This is our go-to app for text and music in our stories on instagram! You can adjust timing, add motion, lots of text and edit photos - it’s a lot of fun and really makes your instagram stories pop!
Repost - cost - free
Repost does exactly what you would expect - if sets up the format of a post that you want to share (as we know it is a requirement to credit the original poster of an instagram feed), so repost will add a credit in the image itself and make it easy for you to share the post and original caption!
Photogrid - cost - free
This is one of our favourite apps - photogrid takes an image and makes a grid across a number of images that you specify like the image below. We use the free version of this and really love the way it looks on our feed. It’s nice if you want to ‘draw a line in the sand’ and start a new style or make a very obvious separation between posts.
There are sooo many apps out there and we have only just touched the tip of the iceberg here with our knowledge! If there are any apps that you know and love, we’d love to hear about it!

I literally have no spare time in my column, some days I can’t even get a glass of water or get to the loo!
I can’t sell my own product - it’s all about the salon owner making their profit and what am I going to do? Keep it in the back in a bag then show to my client? It’s easier not to bother!
I started my salon because I love the industry. Now I am so fed up of trying to get good staff that are reliable, I’m so fed up of staffing issues I don’t want to come to work anymore and I’m ready to throw in the towel!
My boss doesn’t even care about the salon, it could be much better managed and she really depends on us to keep it going. Am really not happy but it’s easier just to stay here - better the devil you know.
I don’t feel any certainty in the salon, we didn’t even sign a contract so I can literally go in one day and find that I have no space, it leaves me feeling uncertain about my future so I do a lot of homers on the side to make sure I keep another income in, but really? I’m exhausted!
If we had a pound for every time we’ve heard these complaints, we could open another salon! It seems that so many people in this industry feel under appreciated and overworked/underpaid… . If you are running your own business and have not yet met Business Gateway, I highly recommend it! I spent an hour with them this morning and discovered they really are a wealth of knowledge and very much focused on helping start-ups grow and self-employed individuals flourish.
Here are my 5 take-aways from the meeting:
If you are under 30, you qualify for a grant of £1,000 - this is not a loan and does not have to be repaid - it’s yours to set up the biz with. It’s via Princes’s Trust and you can find out more information here at their web site. The Prince’s Trust also offers a huge amount of support in terms of business plan templates, finance advice, etc and are generally a good resource to start with (even if you’re over 30 - only difference is - no grant :-( ). They also offer loans (which you have to pay back) up to $5,000.
For general business loans they recommend startuploans.co.uk although at 6.2% the annual interest is quite high. This is Government backed and payback is over 5 years.
They have a great amount of networking events going on (generally 2 a week - that’s a lot of people you can get your face in front of!). Find out more information at their web site.
They offer really excellent workshops - it’s better to be on their newsletter list to get advance notice, however they advise me a lot of people sign up then are no-shows so chances are you if you go along you can get in. It’s good to keep an idea on the web site a couple of days before the event for cancellations too. When I say excellent, I mean really excellent - business development, e-commerce, book-keeping & tax, advertising, social media, networking & more!
HMRC also offer a lot of webinars that are very useful to start ups and self employed professionals. These webinars are 50-60 minutes long and cover all sorts of subjects (similar to above but do it from home!) and are live so you can interact with the speakers.
Finally, if you fancy one of the events at Business Gateway and find the Edinburgh branch is fully booked, it’s good to know they also do them in Livingston (West Lothian), Dalkeith (Midlothian) & Musselburgh (East Lothian) - these may work better because a) it’s easy to park and they are accessible by train b) the groups are smaller so you have more opportunity to ask questions and c) they do not tend to book up so quickly!

You’ve been thinking about this for a while and you are sure you’re now ready to become self employed. The benefits are infinite - choose your hours, choose your clients, your products and freeeeeedom when you want but do you know everything that’s involved? Before your sign up for a room or stick those vinyls on your car, read on for our easy to follow guide on what you need to be aware of before you make the jump!
You must have the necessary qualifications for the types of beauty treatment you want to offer. Your insurance will not cover you for treatments you are not qualified to carry out. Remember that training offered by a product supplier will not result in a recognised qualification.
You’ll need to work out the cost of running your self-employed business and make sure you’ll end up with a profit and enough to live on. In addition, you’ll need to consider:
• Your target market and the prices they might expect to pay or can afford.
• How much local competitors are charging – but don’t let this dictate how much you charge. For example, you may not want to be seen as the ‘cheapest’ option if you are aiming for a more upmarket client base.
TAX & VAT
You will have to register with HMRC as self-employed and make sure you pay the right amount of tax and National Insurance. You must do a Self Assessment tax return every year and pay your tax on time. You must keep accurate records as you go along of all your income and outgoings. You can use this information to fill in your own Self Assessment tax form each year, or you can pay an accountant to do this for you.
Don’t forget that if your turnover goes over the VAT registration threshold, currently £85,000 per year (2018/19), you will have to register for and pay VAT at 20%. VAT is normally payable every three months. You should consider using the Flat Rate VAT scheme where you only pay HMRC 13% instead of 20% as long as your turnover stays below £150,000. See the HMRC web site for more info on this.
You’ll need insurance to cover your own goods, equipment and belongings. You’ll also need public liability insurance to cover injury or damage to a client or their property. Check with your provider to make sure you are covered for all the treatments and services you provide for your clients. If you employ anyone, the law says you must have employers’ liability insurance. As a member of the NBF, we get great advice and discounts from their partner ‘Coversure’. GDPR – DATA PROTECTION LAW
Your business will have to comply with GDPR (General Data Protection Regulation). GDPR means you must protect the data you hold about your clients. You will also need your clients’ specific permission to send them marketing information and to collect and keep health-related info. We cover this in more detail in our salon owners welcome pack, but you can find info here to keep you covered.
APPOINTING A STAND-IN (LOCUM)
If you plan to ask someone to stand in for you (a ‘locum’) when you are ill or on holiday, this must be included in the contract with your salon owner or landlord. The contract should state if the salon owner will have the right to vet your proposed locum and if there is a time limit.
TREATMENTS & SERVICES
Whether you plan to go mobile or rent a space or chair in somebody else’s salon, this will have an effect on which treatments you can offer. If you are driving from house to house, how much product do you (can you?) fit in your car? If you are renting a room in a salon, what will work in the space? How much money do you have to put up front with new brands - ask reps about their minimum orders and find the companies that do not have a minimum in place (for example, some companies ask for a minimum of £4,000 plus training) which is unrealistic when you are starting up!
When selecting products, also consider the retail option of it as this can be a great supplemental income for you. If you are working in a salon under somebody else’s name, the likelihood is that they will choose the brands and any retail opportunity for you is limited.
SCHEDULING & PAYMENTS
When you are ready to get going you need to think about how your clients are going to book appointments and make payments. There are so many great services for online scheduling and payments available which are very competitive in terms of features and pricing and it’s an entirely personal decision. In our welcome pack for salon owners we go into the details of our preferred options but in a nutshell we advise you to take advantage of the great introductory rates available and ensure that you are not committed to long term contracts.
For scheduling software, as a minimum we would recommend you choose a partner that offers:
text reminders (this will help reduce your no-shows significantly)
For payment software, look for a partner that offers
quick and easy access to money - they may have the lowest commission rate but is it any use if you have to wait 5-7 days for your money?
Easy to use software
slimline and stylish models (really - you don’t want something huge that looks like a calculator in your treatment room, do you?!)
Getting the right relationships in place is going to be crucial for your long term success. In his best selling book ‘Good to Great’ business author Jim Collins talks about getting the right people in place from the beginning. He advises ‘if you have the wrong people (leaders, partners, etc) on the right bus, it won’t go anywhere but if you have the right people they will make every effort to ensure you get your bus moving in the right direction’. Choose partners wisely.
We suggest you take time to find the right partners that work for you - at Salon Studios we provide a space and have no restriction on the products you choose, the treatments you do (as long as they are legal) and the hours you work. Unless you’ve been living under a rock, you will be very familiar with #hashtags and the importance of them in our marketing campaigns. In a nutshell, hashtags are used as a way of identifying a post, picture, comment, place, person and importantly, your business. It’s a great way to search for something online - just pop in #edinburghhairdresser for example and you will immediately see that this hashtag has been used on posts over 15,000 times. Although 15,000 mentions may seem a lot, it is not so much in the world of hashtags so to use this would quite likely be a sure sign that people will see you. Type in #hair and you will find more than 180 million mentions. Chances of visibility in this hashtag? Pretty much zero. The more mentions a hashtag has, the harder it is to get noticed with that hashtag. In a nutshell, in the world of hashtags, if you are trying to build visibility through hashtags more is not always more.
According to Plann (the super cool tool that we use to plan our instagram feed), if you are looking for visibility with hashtags their advice is as follows:-
Over a million hashtag mentions - don’t even bother trying to get noticed (unless of course you are a huge brand with an incredible digital marketing team and a limitless budget AND a high engagement rate)
Over 500,000 hashtag mentions - well this is still a huge stage to find your place on, BUT if you have great content and strong engagement then you can find some success at this level
Over 250,000 hashtag mentions - this is the sweet spot. Plann highly recommend this range - with good quality content, this is the area where you can really target and enjoy high levels of engagement.
Less than 250,000 - don’t despair and think this area is not worth venturing in to. On the contrary; this is a great area, even hashtags with mentions as low as 50k, to use for specific, targeted posts that can gather attention over several days, instead of a few hours.
One of the benefits of Plann is that they colour code each hashtag you type in and give you a traffic light coding system to indicate whether or not you should use it. They also save sets of hashtags to make it easy for you to target different audiences with different posts. If you don’t have a tool like Plann, then you can keep note of your hashtags on lists (however, we love what Plann helps us with and makes our life so much easier!).
So how do you select which hashtags are right for you and then, how do you organise them?
Hashtag selection is critical if you are planning on long term relationships with your followers. Yes, you can select a random amount (maximum 30) hashtags and hope for the best but, in the long term this is not going to be successful for you. Here are a few steps we recommend you follow to get your hashtag game up to scratch:
Think about the content you have created and who is going to find this of interest - how will those people discover it? You are looking to use hashtags that will create a level of engagement but not so popular that you will get lost in the sea of similar posts.
One easy way to see how popular a hashtag is: type your hashtag into the search bar and you will immediately see how many mentions that hashtag has which will help you decide if it is worth competing in this market or not (see image below). It may be worth going for a similar hashtag that does not have such a high number of mentions. You can figure this out by testing different hashtags to see which ones work better for you.
Look at other people in your field, including your instagram-star competitors to see which hashtags they use and what level of engagement they are generating.
Once you have decided on the hashtags that you will be focusing on, create lists (this can be in any software - ‘notes’ on your phone, excel, etc). There are many options online for planning your insta strategy and they can store your hashtag lists for easy access when you need them (that’s for another post!). Take advantage of hashtag trends and social media days which attract a huge amount of traffic and can increase your exposure significantly. It’s important to use different hashtags for different posts - throwing mud at a wall generally does not stick and instagrams spam filter will block you if they feel that you are repeating the same hashtag list over and over and over again. Also, your followers will tire of this and you will see your engagement levels dropping so it’s important to be aware of this.
Hashtag generators - there are so many of them out there and it’s worth a free trial to see what they can do for you. We like allhashtag.com and the Influencer marketing hub generator (upload a photo and they will generate relevant hashtags - very cool!) but it is a personal preference!
30 hashtag rule. Instagram only allow a maximum of 30 hashtags per post. This means if you have 15 in your caption, then add 15 in one of your comments you have reached the limit.
Finally, you can use one hashtag in your bio… it’s worth it - select it carefully!
The engagement rate (ER) for instagram is a simple equation as outlined above. Engagement = likes + comments + shares/followers. Or in laymans terms, it’s the number of user likes, shares or comments on your posts divided by the number of followers you have. If you want to get really technical you can separate your ER into likes and comments Engagement rates, but generally any interaction with your post is considered ‘engagement’.
Finally, what is considered a good engagement rate?
Well, according to Influencer Marketing Hub , the average Instagram account has an engagement rate of 3%. Any engagement rate above that, combined with a high number of followers, suggests that you are an influencer amongst your peers. Don’t get too excited just yet! It’s easier to have a 3% rate when you have a small number of followers - the success is in maintaining this rate as your followers grow. Something we are working on too!
Do you ever feel like you have so much going on, so much that you want to share that you don’t know where to start. Instagram and Facebook are always the easy answer and you seem to get good results so do you really need anything else?
Maybe you are a planner and you already have your business plan, your marketing plan, your target audience and have clients lined up at the door (kudos to you if you do!). If you feel like you need a little direction and structure with planning your marketing activities throughout the year then our marketing calendar template is just for you (we’ve put a few local ‘Edinburgh’ events in here), if you would like a blank one to start from scratch, use this one instead!.
You’ll see we have included other options than just social media. Why? Simply because different people read (and do) different things. If you have a variety of the ‘marketing mix’ you will find that you attract (through targetting) different audiences and in turn this will help your business grow. If you measure your response this (something else we will go into in future) you can then establish where the best place to spend your valuable marketing funds.
The marketing calendar is really simple - choose:
what you want to promote (book now for Valentines Day, early bird booking offer, 20% off etc),
how you want to promote it
when you want to promote it
where you want to promote it.
(we are assuming the ‘why you want to promote it’ is to drive business!)
A word of caution here - try not to over commit yourself! Chances are that if you do this you end up weary and don’t do any of it and become demotivated! Select a few areas that are important and do them well. If you don’t get the results you were hoping for, mix it up and try something else. Small tweaks can pay off.
We suggest you print this calendar off and put it somewhere that you see regularly as a good reminder!
Don’t forget if you have last minute cancellations, your clients like to know this - have a template ready to post this if you can!

As the saying goes, you never get a second chance to make a first impression. If you don’t make a fantastic (positive!) first impression on a new client, chances are you won’t see them again and their first impression will also be their last.
Here are our top 5 suggestions on how to ensure the first impression is the first of many:
Give them a warm welcome
It goes without saying that all clients should be greeted with a warm and friendly hello accompanied by a smile. Use their name where possible.
If you are running late, acknowledge the client - preferably in person and manage their expectations - if you are going to be another 15 minutes, let them know this and offer them a drink while they wait. If you cannot make it in person to do this, make eye contact and smile with an apologetic look! This simple gesture reassures them that you know they are waiting. Even better, if you can, text them before they arrive in the salon. So many people are rushed at the best of times and it can be very frustrating to sit in a salon waiting for your appointment when those 15/20 minutes could have been used elsewhere.
Offer them a drink. Not just a ‘tea’ or ‘coffee’ but offer them something EXCITING! Look at the weather outside - is it hot? Offer them infused water or fresh fruit juice. If it’s cold, offer them a hot chocolate with marshmallows or a chai latte. Add some fruit on the side or something a bit different to the standard rich tea (yawn)! Take a note of what they like so you have it ready on their next visit.
Engage with them during a professional consultation
Ask them about their previous experiences - the good, bad and the ugly! Ask them for photos of their ideal style if they have any, ask them who’s hair they love (and don’t!)
Repeat back what they have told you to reassure them you know what they are looking for
During the treatment (if possible, ie a hair cut), have regular eye contact with your client. The mirror is there for the client so try not to look at yourself too much (trust me on this, I had a hairdresser who loved to look at herself in the mirror, making me feel like she was not paying attention to my hair cut!)
Take the guide from them on if they are feeling in a chatty mood or not. Just because you are heading off on holiday and are excited about it does not mean they want to listen to this - look out for the signals, short answers and lack of eye contact tells you all you need to know!
Ask for feedback. Genuinely. At the end of the appointment, ask how it was and if this is what they expected. Also ask if they have any comments or questions. Brits are prone to saying everything is great and then telling their friends later how they hated it!
If a client is unhappy, chances are you won’t see them again anyway so it is better to ask for the feedback up front and fix anything at the time. The most loyal clients come from service recovery situations so make it comfortable for the client to share any concerns with you - this includes after they have left! Let them know if they have any questions or feedback over the coming days they can let you know, ie. ‘if you think you would like a couple more inches taken off, just let me know and you can pop back in’.
Once you have followed these 5 simple steps and have created the WOW! for your client, remember to ask them if they would like to book their next appointment. Let them know in advance of any busy periods so they can work around it. So many people are operating on auto-pilot and just assume that you will have the space available and will appreciate you highlighting that even though they usually come in once every 6 weeks, 6 weeks from now you will be on holiday (remember, the one you were desperate to talk about earlier?!) so they should book for 5 or 7 weeks….
So, as you can see, these 5 easy steps can ensure your first impressions are memorable and set you apart. As they say, ‘go the extra mile, it’s never crowded’!

They say that beautiful brows frame your face and something I am seriously considering is brow microblading. I’ve done all the brow trends - thick, thin, high curve, etc (ok, I have not done the slug brow and don’t think I ever will) but having seen the benefits of microblading on people like Trinny Woodall, I do see the benefits in having some shape added and a few of the missing hairs filled (which seems to be another wonderful benefit of getting older :-) ) . Micro-blading is the semi-permanent secret to faking fuller eyebrows that look totally natural, and could be be the hassle-free solution to spending hours pencilling in your eyebrows - what’s not to love about this?!
As our enquiries start coming in for the Salons we are seeing hairdressers as the majority (which we expected) but we’re hoping that soon we will hear from brow specialists and in particular micro-blading. Starting to take shape…
Not only is this a great word but the meaning is even better! In Japan this is known as the ‘reason for being’ or ‘things that you live for’. It’s a word that we’ve thought a lot about at Salon Studios. If you research it you will see there are many books and articles online about what makes you jump out of bed in the morning. Without a doubt, our Ikigai is getting this business off the ground! As we are finalising the layout and design of our first location, there’s a lot to think about. We are so excited by the response we are receiving (from those people that know the plans we have - not many!) and how much potential this business has to change peoples lives our Ikigai has never been so strong!
As any business does, we are sure we are going to learn a lot during this exciting adventure that lies ahead. As our salon owners will do over the coming months, we have to think about how we are going to promote the salons to support our owners as much as we can - what our marketing strategy is, how we will approach our social media campaigns, where best to spend our money and how to ensure our customers (salon owners) are happy.
We’ve done our research (we’ve been researching this for years to be honest!) and we know that for those who are already in salons in Canada, USA & Brazil, they love the freedom and independence of salon ownership, they feel empowered by running their own business and the flexibility and freedom that comes with that. Why rent a chair when you can rent a salon?
What our main driving force is our #1 goal - we aim to put more women in business than any other business in the UK. These are big goals that we have and we believe if we put our mind to it, we can achieve it. The hair and beauty industry in the UK is continuing to grow and in the last #beautifulbritain report, it was stated that there are 500,000 freelance hair and beauty professionals in the UK. The beauty of our model is that this can work for anybody - hairdressers, nail technicians, barbers, sports therapist, microblading, eyelashes and more… nothing is out of the question.
Whoever joins us can be assured they will be in business for themselves, not by themselves - we will be there to help as much or as little as they need - their success is our success and that is our ikigai. Our first location in Corstorphine opens in Edinburgh late spring 2019 and we are now taking applications. We plan to move fast and are already on the lookout for salons number 2 and 3. We are very excited about this as each location will put between 6 - 24 beauty professionals into the wonderful world of working for yourself!
